Improving Productivity: Managing Communications Effectively and Efficiently

 

Identify the Problem

            Communication is the key cycle to success! No matter if it’s verbal or written, it plays a very important role in the workplace or in our everyday lives. The problem with the lack of communication can lead to misunderstandings that may have the potential to create conflict among your peers. At any point, one person can misconstrue the words or actions of another and all of sudden – Chaos! Ineffective communication can lead to low morale, missed deadlines, lack of teamwork, poor performance, and eventually job abandonment within an organization.

The issue at hand is to confront the concerns that contribute to all negative aspects when dealing with communication to improve productivity throughout. One way to address these issues is to make sure that Leadership is aware and involved. Leadership sets the tone for the company and therefore should not be excluded. A breakdown in communication can easily fall apart if there are no clear and concise set of rules of responsibilities. Everyone should have an idea of how things work, who to contact if project required, etc. Especially working on a team project, the team leader will need defined roles amongst all the peers to ensure deadlines are met, use the same set of metrics for assigning components of a project, and implementing clear timelines. There has been an increase in job layoffs in the past year due to projects are consistently not meeting deadlines because the lack of communication, resulting in the cancellation of projects(McQuerry, Lisa, 2019).

Prepare a Statement of the Issue to be Resolved

            The root of the issue to be resolved is to improve the continued lack of communication within an organization or within Leadership. This paper will address the concerns and issues that are affected by ineffective communication and focus on ways that can empower and increase productivity in order to become a more successful entity(McQuerry, Lisa, 2019).

To restate the issue to be resolved, is tomake leadership aware of the problems and implement ways that would increase morale, performance, efficiency, as well as productivity. No matter what path we take, we all must learn to communicate effectively to be successful.

Impacts if Issue is Not Resolved

            Identifying some of the impacts you will continue see tenured employees seek out other opportunitiesor other positions within the organization. Lack of limited commitment to projects or workloads. Conflicts between team members may arise. Also decreased productivity on projects leading to missed deadlines because of the misunderstanding around project goals and objectives were not communicated effectively. Lack of or poor communication creates complexity and challenges within the environment. This also has a tremendous impact on how we carry out daily tasks. Projects will simply just fail. Longer working hours and not enough employees to handle the workload becomes overwhelming. Or in some cases, the project will come to an abrupt end, due to deadlines are not being met. According to Aleisha Krush of Objectstyle states that 50% of IT projects fail because they run out of resources, funding, or time, etc. Per PMI (Project Management Institute), a high – performing organization is a one that completes 80% or projects on budget, meet original dead lines, and on time(Abudi, Gina, 2013).

Identifying the Consequences if the Problem is Not Resolved

            We are all aware that communication is vital in our day-to day life and the entire world would not function without it. Some of the consequences of not resolving the issue have already having an impact over past few years. Projects are constantly being pulled because deadlines are not being met. The quality of services and employee performances have decreased. The amount of potential clients slowly decreasing afraid that business will not succeed. Employee satisfaction is at an all-time low in fear of job loss resulting in a high turn-over rate. More escalations due to issues that are not being handled at lower levels. I am seeing that schedules are being adjusted based on new business needs for the company. One major consequence is that the organization can potentially lose investors while stock prices take a downward spiral.

Effective communication result in an elaborate understanding what is being communicated and this should include everyone. This comes from being fully engaged, spending time with the project team and prepared to listen and understand the feelings which the key driver of the communication process may be. Leadership really need to possess as many qualities to drive any project to become successful. This would increase morale, employee productivity, and become more attractive to investors(Abudi, Gina, 2013).

Research

            I intend to use a qualitive research approach using resources used in the CTU Library. I will research methods from existing sources that exemplify issues that contribute to all negative aspects when dealing with communication to improve productivity throughout an organization or workplace. Research will show how lack of communication leads to poor performance, low morale, and poor employee performance.My focus is to discuss the issues and their impacts and implement a plan or develop possible solutions that can empower and increase productivity in order to become a more successful entity(McQuerry, Lisa, 2019).

In conclusion, leadership need to interact more efficiently with his/her team and colleagues, a manager can increase his/her potential and get work done by members of his team. Good leaders are very mindful with the fact that productive communication is not a one-way process rather there are two key factors which complete communication process: speaking and listening with understanding. It is vital that leadership learn the how to communicate perfectly with their employees, as this will not only assistin completing project goals successfully, but also enable organizations to achieve success and growth.
